Reporting to: Head of Operations
Purpose
A multi-skilled individual primarily responsible for 1) managing document storage and processing 2) card stock management 3) managing the dedicated call centre agents and 4) general administrative support to the Company’s Operations Team.
Accountabilities
1.
Develop a stock management system (Company’s cards)
2.
The preparation of forecasts (stock) and the managing of stock on a day-by-day basis
3.
Responsible for managing all stock (cards), including booking out orders from agents and reordering cards. Managing physical stock
4.
Reconcile the agent stock account (daily)
5.
Place all card orders with Sterling Bank and ensure that correct number of cards are delivered
6.
Execute the document management strategy: this will include verification of KYC documents; logging and updating the system; raising exception reports; following up with registered customers re outstanding documentation and non KYC compliance; day to day storage, processing, filing, scanning of documents
7.
Manage the weekly collection of customer documents from agents in the field (required to compile and manage a weekly schedule for the Company’s driver and or courier services from other districts. Manage dedicated driver.
8.
Manage the call centre agents (Customer Service Support Staff) on a daily basis. This includes scheduling of shifts, oversight of call centre staff compliance with internal policies and procedures, i.e. adequately recording each call/customer query and escalating calls to the appropriate people.
9.
To provide general administrative support to Company’s Operations Team
10.
Other duties as required from time to time.
Knowledge & Skills, Education & Experience
Education Qualification, Training & Certifications:
Tertiary Education and or industry certification
Previous Work Experience:
Stock management, document processing and storage, account management, staff management, financial/accounting.
Technical Knowledge:
Knowledge of processing systems, hardware, software, computer operations, data entry and processing.
Knowledge of risk management, fraud and security.
Knowledge of PCI compliance issues.

IT Literacy
PC Literate
